This may include parent or guardian names, email addresses, phone numbers, and other contact information, as well as student names, birthdates, grade levels, and academic records such as grades, attendance, and coursework. We may also collect enrollment and payment-related information for administrative purposes. In addition, certain non-identifying data may be collected automatically when you visit our website, including IP address, browser type, and general usage data through cookies or analytics tools.

 

2. How We Use Information

The information collected by Sunshine State Academy K–12 is used to maintain official academic records, provide administrative and support services, communicate with families, process enrollment and payments, and meet legal or recordkeeping obligations. We use this information only for legitimate educational and operational purposes related to the functioning of the School.

 

3. Student Records & Privacy Protections

While private schools are not always directly governed by the Family Educational Rights and Privacy Act, Sunshine State Academy K–12 follows similar principles to protect student privacy. Parents and guardians retain primary control over access to student records, and records are only released with appropriate authorization or as required by law. The School may require identity verification or supporting documentation before releasing any records to ensure the security and accuracy of student information.

 

4. Sharing of Information

Sunshine State Academy K–12 does not sell or rent personal information to third parties. Information may be shared only when necessary to provide services, such as with educational platforms, curriculum providers, or payment processors, and only to the extent required for those services. Information may also be shared with parent or guardian consent, to comply with legal obligations, or to facilitate transcript or records transfers upon request.

 

5. Data Security

Sunshine State Academy K–12 takes reasonable measures to protect personal and academic information through secure storage systems, restricted access, and password-protected platforms. Despite these safeguards, no method of electronic storage or transmission is completely secure, and the School cannot guarantee absolute security of data.

 

6. Third-Party Services

The School utilizes third-party services such as learning management systems, payment processors, and other educational tools. These third-party providers operate under their own privacy policies, and Sunshine State Academy K–12 is not responsible for the data practices of those external services.

 

7. Data Retention

Sunshine State Academy K–12 retains student and parent records for administrative, academic, and legal purposes, including transcript verification. For students who withdraw or transfer to another school, records are maintained for a period of five (5) years following withdrawal or transfer. For graduates, official transcripts are maintained indefinitely for verification purposes; however, other personal and academic records are retained for a period of five (5) years after graduation. After this retention period, records may be securely deleted or destroyed without further notice, in accordance with the School’s record retention and data management practices.

While the School implements reasonable measures to maintain and protect records, the Parent acknowledges that they are responsible for maintaining copies of all submitted documentation for their own records. In the event that records are lost, corrupted, or otherwise unavailable due to unforeseen circumstances, including but not limited to technical failures or events beyond the School’s control, the Parent may be required to re-submit documentation to support the student’s academic record.

 

8. Records & Account Standing

Access to student records may be restricted if an account is not in good standing. This includes situations where there is an outstanding balance, an unresolved payment dispute or chargeback, incomplete required documentation, or a violation of School policies. Records may be withheld until all such issues are resolved.

 

9. Parent Rights

Parents and guardians have the right to request access to their student’s records, request corrections to inaccurate information, and request official records transfers. All requests must be submitted in writing, and the School may require verification of identity before fulfilling any request.

 

10. Children’s Privacy

Sunshine State Academy K–12 collects student information only through parent or guardian enrollment. Students do not independently submit personal information to the School without parental involvement and consent.

 

11. Florida & Multi-State Compliance

Sunshine State Academy K–12 operates in the state of Florida. Families residing outside of Florida are responsible for complying with the educational laws and requirements of their own state or country. The School does not guarantee compliance with regulations outside of Florida.

 

12. Policy Updates

Sunshine State Academy K–12 reserves the right to update this Privacy Policy at any time. Updates will be posted on this page, and continued use of services constitutes acceptance of any changes.
